The Front Desk Coordinator is on the front line and serves as the face of the practice. As a PartnerCare ambassador, this role is pivotal in initiating the best possible patient experience. The Front Desk Coordinator is responsible for overall front desk activities including management of the reception area, customer service, phones, scheduling, insurance verification, and administrative support necessary for the smooth operation of the practice. ESSENTIAL DUTIES & RESPONSIBILITIES Patient Experience & Reception Greet patients and visitors in a warm, professional, and welcoming manner. Provide exceptional customer service in person and by phone to patients, families, staff, vendors, and the community. Manage the reception area to ensure a clean, organized, and professional environment at all times. Handle patient inquiries and concerns promptly and professionally, escalating as appropriate. Scheduling & Registration Schedule new patient appointments and follow-up visits accurately and efficiently. Collect and verify patient demographic and insurance information at each visit. Maintain accurate and up-to-date patient accounts and records in the EMR system. Confirm upcoming appointments and manage cancellations and reschedules. Insurance & Administrative Support Verify patient insurance eligibility and benefits prior to appointments. Collect co-pays, co-insurance, and outstanding balances at the time of service. Manage incoming and outgoing mail, faxes, and correspondence. Maintain office supply inventory and notify management when restocking is needed. Team Collaboration Communicate effectively and professionally with clinical staff, physicians, and administrative team members. Cross-train to support basic medical assistant responsibilities as needed to ensure continuity of clinic operations. Education & Experience High school diploma or equivalent required. Previous experience in a medical office or customer service setting preferred. Experience with electronic medical records (EMR) systems preferred; eClinicalWorks experience a plus. Medical assisting experience or training preferred. We prefer at least two years of experience but are willing to train newer teammates with the right focus on patient care, service, and teamwork.
