SUMMARY: The Enrollment Administrative Coordinator ensures compliant, efficient management of enrollment systems (Eligibility, Recruitment, Selection, Enrollment, and Attendance) while supporting front office operations.  This role serves as a key point of contact for families, staff, and community partners, maintaining accurate records, supporting billing processes, and ensuring a welcoming and organized center environment.

SCHEDULE & LOCATION: The Early Learning Center is located on Martin Luther King, Jr. Avenue in SE Washington, DC. The hours of operation are Monday - Friday from 7:30a - 5:30p. This is a full-time position with a schedule within the center hours.

This position has an annual salary of $58,100.

EDUCATION & EXPERIENCE:

  • Associate's degree required, bachelor's degree preferred
  • 3-5 years of administrative or early childhood program experience.
  • Knowledge of Early Headstart, OSSE subsidy regulations and enrollment systems preferred.
  • Strong organizational, data management, and customer service skills.
  • Ability to manage confidential information with professionalism and accuracy.

KEY RESPONSIBILITIES:  

  • Coordinate and implement ERSEA processes in compliance with OSSE regulations and Head Start Performance Standards.
  • Conduct eligibility interviews, process applications, and maintain accurate waitlists based on selection criteria.
  • Verify subsidy eligibility and manage voucher renewals, reviews, and tracking.
  • Maintain organized, audit-ready files for enrolled, waitlisted, and exited families.
  • Monitor enrollment data, prepare reports, and support reconciliation and compliance reviews.
  • Build partnerships with community agencies to support recruitment and family referrals.
  • Process subsidy billing documentation and collaborate with internal teams to resolve discrepancies.
  • Support weekly and monthly reporting and data reconciliation efforts.
  • Serve as the first point of contact by greeting visitors and responding to phone, email, and in-person inquiries.
  • Maintain front office operations, including scheduling tours and family interviews, correspondence, and supply management.
  • Assist with record requests, documentation, and general administrative tasks.
  • Support meeting coordination, preparation of materials, and general office organization.
  • Maintain confidentiality of all child and family records.
  • Provide clear, professional communication to families regarding enrollment, billing, and program requirements.
  • Adhere to all NCC policies and regulatory requirements.
