Position Purpose

The Backup Administrative Coordinator supports the Administrative Coordinator and store leadership team by assisting with payroll, scheduling, hiring administration, employee records, reporting, and other administrative functions. This position helps ensure efficient execution of store administrative processes while maintaining accuracy, confidentiality, and compliance with company policies and procedures.

Key Responsibilities Administrative Support
  • Assist with daily administrative operations and office functions.
  • Provide support to store leadership with reports, documentation, and communications.
  • Maintain accurate employee, payroll, training, and operational records.
  • Organize and manage administrative files in accordance with company record retention requirements.
  • Ensure confidential information is handled appropriately and securely.
  • Assist with office supply inventory and ordering.
Payroll and Workforce Administration
  • Support payroll processing and timekeeping procedures.
  • Review and maintain employee attendance and timekeeping records.
  • Assist with correcting payroll discrepancies and processing documentation.
  • Support scheduling activities and workforce management processes.
  • Respond to employee questions regarding payroll, scheduling, and benefits administration.
Recruitment and Onboarding
  • Assist with recruitment activities, including candidate communication and interview scheduling.
  • Support new hire onboarding and orientation processes.
  • Ensure hiring documentation is completed accurately and submitted on time.
  • Maintain employment records and onboarding files.
  • Assist with training assignments and compliance tracking.
Communication and Reporting
  • Prepare and distribute store communications, announcements, and reports.
  • Assist with data entry, reporting, and administrative projects.
  • Generate routine operational and workforce reports for store leadership.
  • Maintain calendars, schedules, and administrative tracking systems.
  • Support leadership with special projects and business initiatives.
Compliance and Operational Support
  • Ensure compliance with company policies, labor requirements, and administrative procedures.
  • Support audit preparation and documentation requests.
  • Maintain training, safety, and compliance records.
  • Assist with monitoring completion of required employee training programs.
  • Identify administrative issues and communicate concerns to store leadership.
Qualifications
  • High school diploma or equivalent required.
  • Previous administrative, office, retail, or customer service experience preferred.
  • Experience with payroll, scheduling, hiring, or workforce management systems preferred.
  • Strong organizational, communication, and multitasking abilities.
  • Proficiency with Microsoft Office and related computer applications.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Strong attention to detail and accuracy.
Physical Requirements
  • Ability to sit, stand, walk, bend, and reach throughout the workday.
  • Ability to lift and move items weighing up to 25 pounds.
  • Ability to perform repetitive keyboarding and data entry tasks.
  • Ability to operate computers, telephones, printers, and other office equipment.
Work Environment
  • Retail grocery store and office environment.
  • Frequent interaction with employees, applicants, vendors, and management.
  • Fast-paced environment requiring strong organization and attention to detail.
  • Flexible schedule including occasional evenings, weekends, and holidays as business needs require.
Success Measures
  • Accurate and timely completion of administrative responsibilities.
  • Payroll and scheduling accuracy.
  • Effective support of hiring and onboarding processes.
  • Compliance with recordkeeping and confidentiality requirements.
  • Positive support of store leadership and associates.
  • Consistent execution of company administrative policies and procedures.
