Sullivan Motors is looking for an organized, driven Automotive Reconditioning Coordinator to manage vehicles through our reconditioning process and ensure inventory is completed quickly, correctly, and ready for sale. This is a fast-paced position that serves as the central point of coordination between technicians, parts, management, vendors, and the sales department. The ideal candidate understands automotive repair, is highly organized, and knows how to keep vehicles moving instead of allowing them to sit waiting for decisions, parts, or repairs.


Responsibilities

  • Coordinate the reconditioning process for vehicles from acquisition through frontline-ready status.
  • Review incoming vehicles and help establish the appropriate recon plan.
  • Assign and prioritize vehicles for technicians based on urgency, workload, and required repairs.
  • Track every vehicle currently in the recon process and know its status at all times.
  • Monitor technician progress and follow up on vehicles that are not moving according to schedule.
  • Coordinate parts ordering and aggressively follow up on outstanding or delayed parts.
  • Work with outside vendors for services such as body work, paint, glass, tires, alignments, detailing, and specialty repairs.
  • Identify bottlenecks and immediately escalate issues preventing vehicles from being completed.
  • Verify required repairs and recon items are completed before vehicles are released for sale.
  • Maintain accurate vehicle status information in company systems and internal tracking reports.
  • Communicate daily with management regarding completed vehicles, vehicles in progress, and problem units.
  • Help control recon expenses by identifying unnecessary repairs, excessive parts costs, and inefficient outside-vendor spending.
  • Maintain an organized workflow and ensure technicians have vehicles and work available to maximize productivity.
  • Coordinate final detailing, quality-control inspection, photos, and movement to the sales lot.
  • Maintain accountability for recon cycle time and vehicle readiness.


What We're Looking For

  • Automotive service, repair, dealership, or reconditioning experience strongly preferred.
  • Working knowledge of automotive mechanical repairs and terminology.
  • Ability to understand repair estimates and communicate effectively with technicians.
  • Extremely organized with strong follow-up skills.
  • Comfortable managing multiple vehicles and priorities simultaneously.
  • Strong sense of urgency and ability to hold others accountable.
  • Able to identify problems and take action without waiting to be told what to do.
  • Strong computer and communication skills.
  • Experience with dealership management or automotive service software is a plus.

  • Average recon cycle time
  • Number of vehicles completed per week
  • Vehicles aging in recon
  • Average recon cost per vehicle
  • Technician productivity and workflow
  • Parts and vendor delays
  • Accuracy of vehicle status reporting
  • Quality of vehicles released to the sales department


The Right Person

We are looking for someone who owns the recon process.This position is not simply administrative. You will be expected to actively manage the workflow, follow up with technicians and vendors, solve problems, and make sure vehicles do not sit unnecessarily.

If a vehicle has been in recon longer than expected, you should know why it's delayed, what is needed to finish it, who is responsible for the next step, and when it will be completed.

The successful candidate will be comfortable working in a high-volume automotive environment where speed, organization, cost control, and accountability matter every day.
