Department: Operations

Pay: $20/hr

Exempt/Non-Exempt: Non-exempt, full time position

Immediate Manager: Adoption Program Manager

Availability: The schedule for this role will start Monday - Friday and will move to Tuesday - Saturday when the interim adoptions office is ready. Work hours may be affected by special events, adoption events or other department requirements.

General Position Summary: The Adoption Coordinator is often the first point of contact between the public and Brother Wolf. They are responsible for answering phone calls, returning emails, and greeting people with warmth and enthusiasm when they walk through the doors.

The Adoption Coordinator oversees the day-to-day coordination of the adoption process, including scheduling and facilitating adoption appointments and providing thoughtful, individualized adoption counseling.

They also support a variety of administrative tasks, including maintaining accurate and engaging animal bios, updating adoption-related information, keeping records current, and preparing documentation for adoption packets.

Essential Function/Major Responsibilities:

  • Customer Service & Communication
    • Greets all visitors with a warm, positive, and non-judgemental attitude
    • Responds to phone, email, and in-person communications with compassion and kindness in a timely manner
    • Connects community members with resources to support their needs and overcome challenges
  • Adoption Counseling
    • Collaborates with adopters to gain an understanding of their wants and needs, and help them understand the needs of their potential new pet
    • Helps adopters navigate the adoption process with clarity, confidence, and joy
    • Engage in collaborative conversations with adopters to set them and their new pet up for success
    • Finalizes adoptions, including completing necessary paperwork
    • Seeks to find creative and practical solutions to support adoption matches for both adopters and pets, such as navigating potty-training for full-time workers or providing resources for managing separation anxiety.
    • Supports with coordination and attends off-site adoption events as needed
  • Administration & Record Keeping
    • Ensures files are appropriately maintained and organized
    • Ensures adoption paperwork is accurate and up-to-date with the latest medical and behavioral information available
    • Updates shelter animal database to accurately capture animals' locations, statuses, and other relevant information
    • Provides administrative support across functions and departments
    • Operates register and completes a daily report and cash out at the end of each shift
    • Fill in for other areas and performs other tasks/functions as needed

Minimum Qualifications:

  • Must be at least 18 years of age
  • High school diploma or GED required
  • Ability to read, write, and understand English with excellent written & verbal communication required
  • 1+ year of experience in customer service, office administration, hospitality, or similar
  • Proficiency in basic computer skills & programs including Google G Suite required
  • Physical ability to walk and or stand on your feet throughout a normal workday required. Ability to bend and squat. Physical ability to engage in repetitive motions of legs, arms, and hands and to hear and see clearly.
  • Allergic conditions, which may be aggravated when handling or working with animals, may be a disqualification.

Strongly Encouraged to Apply:

Working conditions:

Conditions may include working alone, working inside or outside during varying weather conditions, frequent interruptions, and some evenings/weekends meetings and classes.

Educational Requirements:

High school graduation required.
