Are you highly organized, detail-oriented, and energized by a fast-paced work environment? We are seeking a Leasing & Rental Billing Coordinator to join our team and play a critical role in supporting our leasing and rental operations.

This position serves as a primary point of contact for customer billing inquiries and is responsible for ensuring accurate invoicing, maintaining vehicle and billing records, and supporting various administrative functions within our leasing and rental department. The ideal candidate enjoys staying busy, managing multiple priorities, and keeping detailed information organized and up to date.

Success in this role requires exceptional attention to detail, strong communication skills, and the ability to manage a high volume of emails, requests, and follow-up items while meeting deadlines and maintaining accuracy.

Essential Duties & Responsibilities

  • Serve as a primary contact for customer billing questions and requests, providing timely and professional support.

  • Process weekly and monthly lease and rental invoices through CDK and Corcentric.

  • Monitor vehicle check-ins and check-outs to ensure accurate, timely invoicing and maintain updated vehicle records in CDK.

  • Perform daily data entry and maintain accurate lot check information across multiple locations.

  • Assist the leasing sales team with insurance-related requests and obtain required insurance certificates from rental customers.

  • Track insurance certificate expiration dates and proactively obtain updated documentation to ensure compliance.

  • Maintain accurate records, monitor outstanding items, and follow up as needed to ensure timely completion.

  • Cross-train in miscellaneous billing functions, including NationaLease reciprocal billing.

  • Cross-train and assist with vehicle administration activities, including replacement plates, credentials, vehicle licensing, and toll violations.

  • Provide administrative support for additional leasing and rental functions as assigned.


Qualifications & Skills

  • Exceptional attention to detail and commitment to accuracy.

  • Strong organizational, prioritization, and time-management skills.

  • Ability to effectively manage multiple responsibilities in a fast-paced, high-volume environment.

  • Proven ability to handle a large volume of daily emails, requests, and follow-up tasks while maintaining strong attention to detail.

  • Excellent written and verbal communication skills.

  • Dependable, self-motivated, and able to work independently with minimal supervision.

  • Comfortable working with invoices, vehicle information, detailed records, and data entry responsibilities.

  • Strong problem-solving skills with the ability to identify discrepancies, research issues, and implement solutions.

  • Proficiency with Microsoft Outlook required.

  • Experience with Microsoft Excel is preferred.

  • Willingness to learn multiple areas of the leasing and rental operation and provide backup support when needed.
