Your Key Responsibilities
- Serve as the main point of contact for the President, handling communications with customers, suppliers, and staff.
- Manage the President’s complex calendar of appointments, meetings, functions, and travel.
- Prepare detailed presentations based on information from meetings, reports, and direct reports.
- Organize office procedures, sort and distribute communications, and optimize workflow.
- Schedule meetings, take minutes, capture notes, and track follow-up items and deliverables.
- Oversee time and travel management and expenses for the President and team members.
- Possesses a continuous improvement and solutions-oriented mindset, leveraging emerging technologies, AI-enabled tools, and digital solutions to increase efficiency, improve business processes, and support organizational objectives.
- Handle multiple high-priority tasks in a fast-paced environment, ensuring coordination and follow-through.
- Support project or program management in planning, structuring and controlling of all assigned projects.
- Evaluate capacities needed and coordinate project planning, staffing and resourcing.
- Monitor project progress and continuously check availability and utilization of capacities, resources, services and materi-als.
- Coordinate and prepare gate- or milestone meetings, reports on progress, critical incidents and risks from PO perspective.
- Take over project controlling with respect to financials, resources and project guidelines and ensure proper project com-munication, documentation and review.
- If required, plan and reconcile deliveries of goods, services and materials needed for the project in cooperation with pro-ject procurement.Â
Your Qualifications
Required:Â
- Bachelor's degree in Business Administration, Communications, Organizational Leadership, or related field.
- Highly proficient in Word, Excel, PowerPoint, and MS Teams.
- Professional and calm composure while working under pressure to handle a wide variety of activities and confidential matters with discretion.
- Provides the highest level of initiative and follow-through while maintaining accuracy and attention to detail.
- Able to manage multiple priorities while meeting deadlines.
- Applicants must be authorized to work in the US without employment visa or other sponsorship.
PreferredÂ
- MBA or degree in Automotive Aftermarket Management.
- Experience supporting senior executives or C-suite leadership.Â
- Works independently and performs all responsibilities with a high level of professionalism, judgment, discretion, a positive attitude, tact, and poise, and follows directions with minimal supervision.
