Job Summary

The EPC Supply Chain Manager leads procurement, expediting, logistics, financial reconciliation, and vendor relationship management for Engineering, Procurement, and Construction projects. This role ensures materials, equipment, and services are sourced competitively and delivered safely, on schedule, within budget, and in compliance with project specifications and contractual requirements.

The position also supports financial accuracy by tracking project commitments, reconciling vendor accounts, balancing procurement records with accounting data, and coordinating invoice and payment activities with Finance and Accounts Payable.

Key Responsibilities

  • Develop and execute project-specific supply chain and procurement strategies.
  • Lead sourcing, bid evaluation, negotiations, and purchase order placement.
  • Build and maintain strong, professional relationships with vendors, suppliers, and logistics providers.
  • Serve as the primary point of contact for vendor communications, performance management, issue resolution, and commercial matters.
  • Coordinate with engineering, project controls, construction, quality, finance, and commercial teams.
  • Establish procurement schedules aligned with engineering deliverables and construction milestones.
  • Monitor supplier performance, manufacturing progress, inspections, documentation, and delivery commitments.
  • Direct expediting and logistics activities, including transportation, customs, warehousing, and site delivery.
  • Review vendor invoices against purchase orders, contracts, receipts, delivery records, and approved changes.
  • Perform three-way matching of purchase orders, receiving documentation, and invoices.
  • Lead invoice reconciliation and resolve discrepancies involving pricing, quantities, taxes, freight, retainage, and payment terms.
  • Reconcile vendor statements and investigate differences between vendor records, purchase orders, invoices, payments, and the general ledger.
  • Support monthly and year-end close activities, including accruals, open commitments, outstanding invoices, and cost adjustments.
  • Maintain accurate vendor accounts, procurement records, payment schedules, and project cost data.
  • Track committed costs, actual expenditures, forecasted costs, and remaining purchase order balances.
  • Monitor accounts payable aging reports and coordinate resolution of overdue or disputed balances.
  • Coordinate with Finance and Accounts Payable to ensure accurate coding, approvals, payment processing, and vendor account balancing.
  • Support budgeting, forecasting, cost control, and variance analysis for project procurement activities.
  • Prepare financial, procurement, and supplier performance reports for project management and leadership.
  • Identify and mitigate supply chain risks, including long-lead items, capacity constraints, cost escalation, and quality issues.
  • Ensure compliance with company policies, project contracts, applicable laws, and ethical sourcing standards.
  • Support audits by maintaining complete and organized purchasing, invoicing, receiving, and payment documentation.
  • Lead, coach, and develop procurement, expediting, logistics, and supply chain personnel.

Required Qualifications

  • Bachelor’s degree in supply chain management, business, finance, accounting, engineering, construction management, or a related field.
  • 10+ years of progressive experience in supply chain, procurement, materials management, or a related field.
  • Mandatory experience supporting EPC projects.
  • Demonstrated experience managing procurement and supply chain activities for large, complex projects.
  • Strong knowledge of equipment, materials, logistics, expediting, vendor management, and supplier quality processes.
  • Experience with purchase order administration, invoice review, three-way matching, and vendor statement reconciliation.
  • Working knowledge of accounts payable processes, accruals, cost tracking, financial recordkeeping, and month-end close procedures.
  • Experience reconciling procurement data with accounting records and balancing vendor accounts.
  • Experience with ERP and procurement systems.
  • Strong negotiation, commercial, analytical, and problem-solving skills.
  • Excellent attention to detail and ability to identify and resolve financial discrepancies.
  • Strong written and verbal communication skills.
  • Ability to manage competing priorities in a deadline-driven environment.
  • Willingness to travel to project sites, suppliers, and manufacturing facilities as required.

Preferred Qualifications

  • Experience with Acumatica ERP.
  • Experience with international procurement, import/export requirements, and multimodal logistics.
  • Knowledge of EPC contract models, including lump sum, EPCM, cost-reimbursable, and unit-price contracts.
  • Experience managing high-value or long-lead equipment and materials.
  • Familiarity with supplier audits, quality assurance, inspection and test plans, and project risk management.
  • Experience preparing procurement and financial reports for project leadership.
