Job Summary
We are seeking a Pre-Litigation Legal Assistant to support our attorneys and pre-litigation team. This full-time, in-office role in Houston, TX plays a critical part in keeping cases moving through the pre-litigation stage by coordinating client communication, managing insurance adjuster contact, and driving the early investigation of each case. The Pre-Litigation Legal Assistant schedules and confirms client calls, requests and confirms claim information, coordinates and tracks scene and site visits, organizes evidence, and flags gaps, stalled files, and approaching deadlines before they become problems. Success in this role directly impacts case velocity, evidence preservation, and the client experience — and offers strong opportunities for long-term career growth within the firm.
Key Responsibilities
- Coordinate calls between the attorney and clients, avoiding scheduling conflicts and confirming appointments in advance.
- Provide clients with regular status updates and respond promptly to inquiries.
- Communicate with insurance adjusters to request and confirm claim numbers, coverage information, and claim status.
- Relay relevant adjuster communications to the attorney and document all conversations in the case file.
- Coordinate and track the timely completion of scene and site visits.
- Maintain an investigation checklist / tracker per case to ensure no steps are missed and deadlines are met.
- Organize photographic evidence, video footage (e.g., dashcam, surveillance, body cam), and physical evidence documentation.
- Flag investigation gaps or delays to the attorney that could affect case viability or deadlines.
- Flag stalled cases, missing documents, or approaching deadlines (e.g., statute of limitations).
- Maintain and update the case management system to reflect current case status.
- Coordinate the smooth handoff of accepted cases to the assigned legal team.

Required Experience
- High school diploma required; some college experience preferred.
- 1+ years of experience in a legal office, intake, insurance claims, customer service, or investigative support role.
- Prior experience in personal injury, intake, claims handling, or investigations preferred.
- Proficient in Microsoft Office.
- Familiarity with Outlook, Filevine, or similar case management software.
- Bilingual (Spanish / English) preferred.
- Excellent verbal and written communication skills, including strong phone etiquette.
- Experience working in a fast-paced professional environment.
- Highly organized with strong attention to detail and time-management skills.
- Strong ability to prioritize, multitask, and meet deadlines.
- Demonstrated ability to work independently and make sound decisions.
